Instantly: High-volume cold email infrastructure with mailbox warmup and inbox rotation.

Instantly is our default cold-email infrastructure for net-new outbound. It rotates across hundreds of warmed mailboxes, runs native warmup, and keeps deliverability high even at meaningful volume.

Short answer

How do you scale cold email safely with Instantly?

Instantly scales by spreading volume across many warmed mailboxes on dedicated domains rather than sending more from any single inbox. The safe pattern is 3 to 5 domains, 2 to 3 mailboxes each, 20 to 30 sends per mailbox per day after a two to three week warm-up, verified lists only, and a hard pause on any domain whose bounce rate crosses two percent.

  • Volume comes from more mailboxes, never more sends per mailbox.
  • Warm for 2 to 3 weeks before the first real send.
  • Bounce rate above 2 percent means stop and re-verify, not push harder.
  • Keep cold sending off your primary corporate domain permanently.
What we operate

How our pod runs Instantly.

  • Stand up dedicated sending domains (separate from your primary)
  • Provision and warm 20–200 mailboxes per pod
  • Configure SPF, DKIM, DMARC, MX, BIMI on every domain
  • Rotate inboxes per send, throttle volume per persona, and monitor reply/bounce rates daily
  • Sync replies and bookings back to HubSpot/Salesforce
Use cases

Where Instantly earns its place in the stack.

Cold-email deliverability infrastructure

Your primary domain stays protected. Cold sends go from dedicated, warmed infrastructure that does not threaten the deliverability your founders depend on.

Volume programs

5,000 to 50,000 sends/month across dozens of mailboxes with reply-rate monitoring and automatic throttling on the first sign of deliverability decay.

Example workflows

Real Instantly plays we ship.

Cold-send infrastructure rollout

  1. 01Buy 3–5 lookalike domains, point MX/SPF/DKIM/DMARC
  2. 02Create 5–10 mailboxes per domain on Google Workspace or Outlook
  3. 03Run native Instantly warmup for 3–4 weeks before first send
  4. 04Launch first sequence at 20–30 sends per mailbox per day
  5. 05Scale weekly based on reply, bounce, and spam-complaint rates

Setup

How we configure Instantly in week 1.

The Foundation build installs Instantly in your own account in this order. Each step is documented in the operating playbook we hand over.

  1. 01

    Buy and configure domains

Register 3 to 5 lookalike domains, redirect them to the main site, and set SPF, DKIM, and DMARC correctly on each before creating mailboxes.

  2. 02

    Create and warm mailboxes

Two to three mailboxes per domain with real names and photos, warmed for two to three weeks with a gradual ramp before any campaign traffic.

  3. 03

    Verify the list

Run every address through verification and remove catch-all, role-based, and risky addresses. This is the single largest lever on deliverability.

  4. 04

    Set send limits and rotation

Cap 20 to 30 sends per mailbox per day, rotate across the pool, randomize intervals, and keep sending within business hours in the recipient's timezone.

  5. 05

    Monitor and react

Watch bounce rate, reply rate, and inbox placement per domain weekly. Pause and repair a domain crossing 2 percent bounces instead of accepting the drift.

Failure modes

How Instantly builds go wrong.

  • Sending from the primary domain because setup is faster.
  • Skipping warm-up, which reliably lands the first campaign in spam.
  • Adding links and images to first-touch emails.
  • Ignoring a slow bounce climb until the whole pool is burned.
